Microsoft 365 sits at the centre of many small businesses. Email, Teams, OneDrive, SharePoint and Office applications can make collaboration much easier, but a compromised Microsoft 365 account can also give an attacker access to a large amount of company information. A few core controls make a significant difference.
Protect administrator accounts
Administrative access should be limited to the people who genuinely need it. Where possible, use separate admin accounts rather than browsing the web and reading email with a highly privileged login.
Use strong authentication
Enable multi-factor authentication and adopt stronger sign-in methods such as passkeys where supported. Review old authentication methods and remove unused accounts quickly when staff leave.
Review external sharing
OneDrive and SharePoint make file sharing simple, which is useful but easy to lose track of. Review anonymous links, guest access and externally shared folders so sensitive files are not left exposed longer than necessary.
Secure the devices accessing Microsoft 365
Cloud security is not only about the cloud account. Laptops and phones should be patched, encrypted, protected against malware and configured so lost devices can be dealt with quickly.
