When something goes wrong, the first hour can be confusing. Staff may not know whether to switch equipment off, disconnect a device, contact the bank, reset passwords or tell customers. A short, practical incident response plan removes uncertainty and helps the business make sensible decisions under pressure.
Define who is in charge
Name the people who can make operational decisions during an incident and identify who will deal with IT, communications, suppliers and senior management. Include backup contacts in case the usual decision-maker is unavailable.
List your critical systems
Document the systems the business cannot operate without and where key data is stored. This might include Microsoft 365, finance software, cloud storage, customer databases, websites, phones and specialist applications.
Write down first actions
Create simple instructions for common scenarios such as a stolen laptop, compromised mailbox, ransomware alert or suspicious bank payment. The aim is not to predict every incident but to give people a safe starting point.
Keep the plan available offline
If your plan is only stored inside the system that has failed, it will not help. Keep a protected copy somewhere accessible during an outage and review it periodically as staff and suppliers change.
